Please take a moment to review our terms and conditions.

All arrangements made by Concierge in Rome (CIR) for you (the participant) are subject to the following terms and conditions. Most importantly, if you book services through Concierge in Rome, you acknowledge acceptance of these terms and conditions and agree to be bound by them.

Itineraries & Participation:
Accommodations and arranged sightseeing are subject to change at any time due to unforeseen circumstances or circumstances beyond CIR’s control. Every effort will be made to operate itineraries as planned, but alterations may occur after the final itinerary has been issued.

All activities will begin promptly at the scheduled time, and it is possible for an activity start to be delayed and/or the duration to vary for reason beyond our control. Please consider this when scheduling coinciding activities. There is no refund for those who miss an activity due to late arrival. Transportation is included only when it is specifically mentioned. When transportation is not included, you must arrive at the specified meeting point by your own means. Due to circumstances beyond our control, certain facilities or areas may be closed or inaccessible. In these cases, CIR reserves the right to make adjustments to minimize your inconvenience.

CIR also reserves the right to withdraw a itinerary or any part of it to make such alterations in the itinerary or with the itinerary inclusions as it deems necessary or desirable, and to pass on to itinerary participants any expenditures or losses caused by delays or events beyond its control.

Professional Planning Fee:
A professional planning fee with a minimum of Euro 50 will be charged for any itinerary we prepare. Fees will be calculated on the basis of the agreed services and itineraries and will include: creating an itinerary, coordination and local assistance while in Rome, arranging accommodations and restaurant reservations, providing detailed maps, suggesting good places to go shopping as well making advance bookings and purchasing tickets.

Prices and Arrangements:
Quoted prices are in Euro and include planning, handling and operational charges and are based on tariffs and taxes as of January 2008. CIR reserves the right to increase prices to cover increased costs, tariffs and taxes, and to reflect fluctuations in foreign exchange markets. Gratuities to service providers (drivers, guides etc.) and admission tickets are not included in the price unless specified on the itinerary.

Travel Insurance:
Travel insurance, which provides cancellation coverage, medical coverage and protection against lost or damaged luggage, is not included in the price. CIR strongly recommends that its clients purchase travel insurance. CIR does not provide or write travel insurance, nor can we be held liable or responsible for any issues arising from not having it. Your credit card may provide sufficient coverage if payment is made with it.

Deposit and Payment:
A deposit of 50% is required at the time of booking. Final payment is due 30 days prior to departure. If your reservation is made within 30 days of departure, the entire cost of the trip must be paid at the time of confirmation.

We accept payment by most major credit cards, bank transfers and in cash. Confirmation of you booking is made when we receive your deposit, either when your credit card is authorized or a bank transfer is received by our bank. If payment is made by bank transfer, you are responsible for any fees. If payment is made by credit card, we add a 3 percent surcharge to the price.

Upon receipt of payment, your reservation is considered firm. Our acceptance of payment assumes you and all members of your party agree and accept these terms and conditions.

Cancellation:
All cancellations must be received in writing by Concierge in Rome. Refunds for cancellation of itineraries or any additional service, accommodation or transportation arrangements made by Concierge in Rome in relation to your reservation will be paid on the following schedule: cancellations received 31 or more days prior to the service will be refunded in full; 30-15 days in advance will be charged 50% of the price; 14 or less days in advance will be charged 100% of the price.

Claims and Refunds:
Refunds are not made for any missed services except for verifiable extenuating
circumstances. Please see our Limits on Concierge in Rome’s Responsibility below. For verifiable claims to be considered, they must be received in writing within 30 days of the termination of the service and be accompanied by supporting documentation verifying the claim. Any adjustment considered will be based on the actual price of the services involved and not on a per diem basis. Adjustments will not be made for unused services. CIR will not accept any liability for any claims that are not received within 30 days of the termination of a travel program.

Limits on Concierge in Rome’s Responsibility:
CIR has arranged these services through independent providers who have no legal affiliation to us. We do not own or operate the equipment, vehicles or facilities used during these itineraries and assume no responsibility for the negligent act and/or omissions of the provider. In addition and without limitation, CIR is not responsible for any injury, loss, death, inconvenience, delay or damage to personal property in connection with the provision of any goods or services whether resulting from force majeure, illness, disease, acts of war, civil unrest, insurrection or revolt, animals, strikes or other labour activities, criminal or terrorist activities of any kind, overbooking or downgrading of services, food poisoning, mechanical or other failure of aircraft or other means of transportation or for failure of any transportation mechanism to arrive or depart on time.

Travellers Representations:
You assume all risks associated with participating in a CIR itinerary. Itinerary may include walking and/or climbing in difficult terrain with steep ascents and descents. On a CIR itinerary, you are likely to encounter uneven cobblestones, farmland, stairways without handrails, unpaved walkways, dirt roads, and stone steps. Some activities are not regulated by any industry safety standards and you assume all risk. You should come properly attired for any type of weather conditions that may exist. You are responsible for monitoring your own dietary restrictions and alcohol consumption. You are also encouraged to check with your health insurance provider to ensure that your coverage extends to international travel. All responsibility for product purchases made during a Concierge in Rome itinerary rests with you and the product vendor.

Release of Liability and Indemnification:
You are aware of the risks associated with a Concierge in Rome itinerary/service and freely accept and fully assume all risks and the possibility of personal injury or loss resulting there from. You agree to hold harmless and indemnify CIR from any and all liability for any personal injury or loss resulting from your booking a Concierge in Rome itinerary/service.

Dispute Resolution:
You and we expressly agree that any disputes arising out of these terms and conditions shall be resolved applying Italian law. Resolution shall be decided by one neutral arbitrator. Costs of arbitration and enforcement and attorney’s fees are borne by each party, except for filing/administrative fees which are paid by the party bringing the action. The arbitrator shall not have the power to order pre-hearing discovery of documents or the taking of depositions, but may compel attendance of witnesses and the production of documents relating to the specific matter only, at the hearing. CIR must receive notice of any dispute in writing.

Of course, we prefer to resolve issues through clear communication, understanding of responsibilities, proper manners, and good customer service.

Jurisdiction:
These terms and conditions, and your acceptance of them by booking a service through us, are governed in Italy by Italian law, and both parties shall submit to the jurisdiction of Italian courts at all times.
